2. How We Use Information
Google user data exception: The general uses described in this Privacy Policy, including marketing, advertising, analytics, product research, service improvement, AI development, model training, or business operations, do not apply to Google user data unless the use is expressly permitted under the Google API Services User Data Policy and is necessary to provide or improve the user-facing Automo feature requested by the user. We may use information to: • provide, operate, maintain, and improve the Services; • create and manage accounts, workspaces, users, permissions, billing, and subscriptions; • host, process, publish, render, export, share, and deliver Customer Content; • provide AI, automation, search, design, content generation, workflow, developer, and collaboration features; • process prompts, files, outputs, and instructions; • personalise user experience; • provide support and respond to requests; • monitor performance, reliability, security, abuse, fraud, and compliance; • develop, test, train, improve, and evaluate products, AI models, automation systems, templates, and recommendations, except that Google user data is not used to train, develop, or improve generalised AI or machine learning models; • analyse usage, trends, performance, and business insights, except where the data is Google user data and the use is not necessary to provide or improve the user-facing Automo feature requested by the user; • communicate service, product, security, billing, and marketing updates, except that Google user data is not used for marketing, advertising, targeted advertising, personalised advertising, retargeting, or interest-based advertising; • enforce our Terms and policies; • comply with legal obligations; • protect our rights, users, customers, systems, and third parties; • support audits, compliance, security certifications, and enterprise administration.
3. AI and Automation Data
AI and automation features may process prompts, files, uploaded content, connected data, instructions, outputs, metadata, usage patterns, and workflow activity. Do not submit sensitive, regulated, confidential, or third-party data unless you have the right to do so and your plan, workspace, or agreement permits that use. Unless prohibited by a written enterprise agreement or applicable law, we may use AI-related data to operate, secure, improve, test, train, and develop our Services, AI models, automation tools, recommendations, templates, and product features. Browser activity reporting data (the daily work/personal time totals described under Enterprise accounts) is processed solely to provide that reporting to you and your organisation. We do not use it for marketing, advertising, product analytics, or to train AI models.
4. Enterprise and Workspace Accounts
If you use the Services through an organisation, employer, client, agency, workspace, or enterprise account, administrators may access, control, export, delete, restrict, monitor, or manage your account, content, usage, permissions, logs, integrations, and communications within that workspace. Your organisation may have its own policies governing your use of the Services. If your organisation enables Automo Browser activity reporting, it receives only daily totals of work, personal, unclassified and paused browser time (in 5-minute increments) — never the pages, addresses, sites or searches behind them. You can see exactly what your organisation sees, pause reporting at any time, and mark any browser workspace as personal. Reporting begins no earlier than 14 days after written notice is assigned to you.
5. Sharing Information
We may share information with: • related group entities and affiliates; • hosting, cloud, infrastructure, AI, analytics, security, support, payment, email, communication, and storage providers; • contractors, advisers, auditors, lawyers, accountants, consultants, and professional service providers; • integration providers and third-party services you connect or authorise; • enterprise administrators and workspace owners; • regulators, courts, law enforcement, or government bodies where required or permitted by law; • counterparties in a merger, acquisition, financing, restructuring, sale, or transfer of assets; • others with your consent or direction. We do not sell personal information in the ordinary sense of selling user records to data brokers.
6. Cross-Border Processing
We may process, store, access, support, and transfer information in Singapore, Australia, the United States, the United Kingdom, the European Economic Area, and other countries where we, our affiliates, hosting providers, subprocessors, service providers, or support teams operate. Where required, we use contractual, technical, organisational, and other safeguards designed to protect information transferred across borders.
7. Cookies and Tracking
We may use cookies, pixels, SDKs, local storage, analytics tools, and similar technologies to operate the Services, remember preferences, secure accounts, measure performance, understand usage, improve products, personalise experiences, and support marketing. You can manage cookies through your browser or device settings, but disabling some cookies may affect functionality.
8. Marketing Communications
We may send service, product, security, billing, and marketing communications. You may opt out of marketing emails using the unsubscribe link or by contacting us. We may still send non-marketing communications about your account, security, billing, legal notices, or service operation.
9. Customer Logos, Names and Publicity
Unless you notify us otherwise in writing or your enterprise agreement states otherwise, we may use your organisation name, trade name, logo, trademarks, publicly available brand assets, screenshots, usage descriptions, non-confidential implementation details, and general relationship status to identify you as a customer, user, partner, integration provider, or platform participant. We may use this in websites, investor materials, sales materials, pitch decks, press releases, social media, app listings, customer lists, case studies, and other marketing or promotional materials. We will not knowingly disclose your non-public confidential information in public marketing materials without consent.
10. Data Retention
We retain information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, maintain security, support backups, prevent fraud, conduct audits, and operate legitimate business records. Backup copies may persist for a limited period after deletion. Where required by law or contract, we will delete or return data in accordance with applicable obligations.
11. Security
We use technical, organisational, and administrative measures designed to protect information against unauthorised access, loss, misuse, alteration, and disclosure. However, no system is completely secure. We do not guarantee that information will always remain secure, uninterrupted, error-free, or immune from unauthorised access. You are responsible for using strong passwords, managing permissions, securing integrations, controlling user access, and maintaining appropriate customer-side security controls.
12. Your Rights
Depending on where you are located, you may have rights to access, correct, delete, restrict, object to, export, or withdraw consent for certain personal information. To exercise rights, contact us using the details below. If your account is controlled by an organisation or enterprise customer, we may direct your request to that organisation.
13. Children
The Services are not intended for children under the age required by applicable law. You must not use the Services or submit personal information if you are not legally permitted to do so.
14. Legal Bases
Where required, we rely on one or more legal bases to process personal information, including: • performance of a contract; • legitimate interests; • consent; • compliance with legal obligations; • protection of rights, security, users, customers, and third parties.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify users. Continued use of the Services after changes take effect means you accept the updated Privacy Policy.
16. Google API Services — Limited Use Disclosure
Automo’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Notwithstanding anything else in this Privacy Policy, Automo uses Google user data only to provide or improve the user-facing features in Automo that the user has explicitly enabled. Automo accesses Google user data only for the following purposes: • Basic Google account information (name and email address) is used to show which Google account the user has connected. • Google Calendar data is used to display, create and update calendar events in Automo when the user connects Google Calendar, and to list the user’s calendars so they can choose which ones Automo shows. • Gmail data is used to send emails on the user’s behalf when the user triggers a send action from Automo. When the user chooses to import their Gmail mailbox, Automo copies their existing messages into their Automo inbox. When the user has granted inbox access, an action the user takes on a Gmail message in Automo (archive, restore, mark as read or unread, add or remove a label, move to trash) is applied to that message in Gmail. • Google Drive data is limited to files the user explicitly selects, except when the user chooses to move their Google Drive into Automo. Automo then reads the files in that Drive to copy them into the user’s Automo workspace, and does not change or delete anything in Google Drive. • Google Contacts data is used to show the user’s Google contacts in Automo when the user connects Google Contacts and, when the user presses Sync, to add the contacts they created in Automo to their Google Contacts. • Google Ads data is used to show the performance of the Google Ads accounts the user connects, and to create campaigns, ad groups, ads, keywords and budgets and to pause or resume campaigns when the user asks Automo to. • YouTube data is used, when the user connects a YouTube channel, to show the channel’s name, picture and subscriber count, and to upload to that channel the videos the user publishes or schedules from Automo. • Google Business Profile data is used, when the user connects Google Business Profile, to list the user’s business accounts and locations, and to publish to a location the posts the user publishes or schedules from Automo. Automo does not use Google user data for advertising, targeted advertising, personalised advertising, retargeting, interest-based advertising, selling to data brokers, providing information to resellers, determining credit-worthiness, lending purposes, creating unrelated databases, or any purpose unrelated to providing or improving the user-facing Automo features requested by the user. Automo does not use Google user data to train, develop, or improve generalised artificial intelligence or machine learning models. Automo does not sell Google user data. Automo does not transfer Google user data to third parties except where necessary to provide or improve the user-facing Automo feature requested by the user, for security purposes, to comply with applicable law, or with the user’s explicit consent where permitted by the Google API Services User Data Policy. Automo does not allow humans to read Google user data except where the user has given explicit consent, where necessary for security or abuse investigation, where required by law, or where the data has been aggregated and anonymised for permitted internal operations.
